Rebuilding the systems behind a biweekly payment business

After a previous vendor fell short, Smart Data stabilized a financial services firm's systems and then rebuilt the platform that runs every part of the business, from the payment engine to compliance reporting.

A financial services firm helps consumers pay down mortgages, loans and payment cards on a biweekly schedule. When participation in its biweekly program grew sharply, the systems behind the business could not keep up with the volume of customers or the state and federal compliance work that came with them.

The firm brought in SDS, a Smart Data company, to take over from an underperforming vendor. The team first stabilized the existing systems, then led a multi-year effort to build new ones underneath every part of the business.

The challenge

  • Rapid growth in the biweekly loan program outpaced manual and semi-automated processes
  • Customer service, self-service, payment processing and sales all needed automation at once
  • Compliance reporting was required for multiple state and local governments
  • The previous vendor had left existing systems unstable

The solution

Stabilize first, then rebuild the platform piece by piece:

  • Rebuilt the core engine that calculates biweekly payments and the schedules around them
  • Built software to manage multiple trust accounts and move funds between them as required
  • Integrated the platform with the firm's accounting systems
  • Delivered a customer self-service portal
  • Built customer service desktop software for agents working with customers
  • Automated compliance reporting for state and local governments
  • Added marketing campaign management and letter generation for customer acquisition

The results

  • A much larger customer volume handled with the same headcount

  • Risk spread across multiple bank trust accounts

  • Customers able to serve their own needs through the self-service portal

  • One platform underpinning sales, payment processing, customer service and compliance
