Project Overview

LeadingResponse provides highly targeted leads across multiple sectors, including healthcare, legal, and senior living. Their internal process relied on Salesforce for lead tracking and NetSuite for order processing. However, the transition from opportunity to invoice involved manual handoffs, back-and-forth emails, and inconsistent data between systems. To address this bottleneck, Smart Data was brought in to create a streamlined, automated integration between the two platforms.

Project Challenge

The manual workflow had several friction points:

  • Sales reps had to manually configure products, gather approvals, and manage order creation

  • Clients experienced delays and confusion during the SOW and payment process

  • Creating accurate invoices with payment links was time-consuming

  • Sales promotions and bundled products required repetitive setup

  • Data consistency between Salesforce and NetSuite was difficult to maintain

These challenges were limiting sales efficiency and scalability, so Smart Data was tasked with eliminating them through automation.

Project Approach

Smart Data implemented a fully automated solution using the following components:

  • Salesforce and NetSuite integration using Apex, Lightning Flows, and future callouts

  • Conga Apttus CPQ for streamlined product configuration, pricing, and bundling

  • Conga Sign to capture digital signatures and automate contract approval

  • Lightning Data Services to enable dynamic, real-time invoice and payment link generation

Salesforce opportunities were transformed into clean, structured orders with clear product categories. Once approved, the data automatically passed to NetSuite, triggering invoice creation and payment emails for customers.
